How many times have you held a team meeting in the canteen, or even the corridor, because all the meeting areas were booked? Then, on the way back to your desk you pass an empty room, the buffet awaiting the opportunistic attentions of those 'in the know'. Checking the diary, you discover that the room was booked as part of the regular schedule...for a project team that's been disbanded for months.

Space is an expensive commodity and meeting rooms, laden with hi-tech equipment and quality furniture, doubly so. As we all know, these are difficult times and budgets are stretched. However, using the right room for an important meeting can be crucial to the bottom line. Squeezing the client into an undersized facility or failing to deliver lunch will reflect very badly on a business.

The FM has an important role to play here. They must ensure that all rooms are occupied appropriately, that those booking the room show up, that rooms are closed down when not in use to save energy, and that they have readily available management information to allow strategic decision-making regarding the size and supply of rooms in the future.
