Mass’ Room Booking MASSter is a powerful extension to the ARCHIBUS Space Management module to provide comprehensive room booking and allocation capabilities.
Rooms can be booked based on parameters such as capacity, room type, layout, date required, start and end time of meeting. The user simply specifies the required criteria and the system lists all available rooms. Additional facilities can be booked, such as fixed equipment, (e.g. audio visual equipment), and catering requirements.
Rooms can also be charged to a specified department or cost centre.
Rooms can be booked on a recurring basis, i.e. for the same time of day and days of the week for specified periods. A sophisticated search engine allows the optimum room to fulfill the required criteria to be located.
This is a great help in maximising the utilisation of available space to avoid, for example, unnecessarily large rooms being booked. Attendees for meetings can also be recorded for security or notification purposes.
Room Booking MASSter can also be used for hot-desking, where rooms are required for longer periods of time to suit working practices. Where there is a need to provide temporary workspace, for visiting or short term staff for example, Room Booking MASSter will manage the requirement to locate and allocate space, including charging for its use.
Room Booking MASSter also includes extensive reporting capabilities including room availability, percentage usage of or rooms by user over a specified period of time, charge back to occupier for room use, historical and projected analysis of room use, instructions to porters and catering staff.
Web-enabling the room booking activity allows users throughout the organisation to view and book rooms via their web browsers. The availability of rooms can be confirmed through a visual grid and rooms booked online. The browser application is directly linked to the main room booking database so any updates appear in real time.
Room availability can still be queried by room type and size with ancillary services such as catering requested. Attendees can readily check the location and times of meetings, all with minimal training.
